How CanWePlayIt handles information for band leaders, members, substitutes, and admins.

CanWePlayIt provides band scheduling tools through our mobile apps and the web app at canweplayit.app. This Privacy Policy explains what information we collect, how we use it, when we share it, and how you can manage or delete your account.

Information We Collect

Account and profile information

When you create or use an account, we collect information such as your display name, email address, password credentials, optional phone number, notification preferences, and account settings.

Band and scheduling information

CanWePlayIt stores the information needed to help your bands schedule gigs, including organization memberships, member roles, availability exceptions, coverage dates, venue details, event details, lineup assignments, confirmations, substitutes, invitations, and related status updates.

Communication information

When leaders invite members or send gig-related updates, we may process email addresses, phone numbers, invitation links, notification content, delivery status, and related message metadata.

Device and technical information

If you enable push notifications, we store device notification tokens and platform information so notifications can reach your devices. We may also collect basic logs, diagnostics, timestamps, and security information needed to operate and protect the service.

Information We Do Not Collect

  • We do not collect precise location data.
  • We do not collect your contacts from your device.
  • We do not collect payment card information in the current app release.
  • We do not collect audio, photos, videos, or media files from your device.
  • We do not ask members to enter private reasons for unavailable dates.

How We Use Information

We use information to provide and improve CanWePlayIt, including to:

  • Create and manage user accounts.
  • Show leaders whether a band can play on a requested date.
  • Maintain member availability, event schedules, venues, lineups, substitutes, and confirmations.
  • Send account, invitation, reminder, confirmation, substitution, cancellation, and member-removal messages by email, push notification, and, when enabled, SMS.
  • Authenticate users, prevent abuse, protect the service, troubleshoot issues, and provide support.
  • Comply with legal obligations and enforce our terms and policies.

How Information Is Shared

CanWePlayIt is designed for group scheduling, so some information is visible to other people in your band or organization. For example, leaders can see whether members are available or unavailable for a date, whether coverage data is current, and whether a member has confirmed or declined an event.

We may share information with service providers that help us run the app, such as cloud hosting, database, email delivery, SMS delivery, push notification, security, diagnostics, and app platform providers. These providers process information for us so CanWePlayIt can operate.

We do not sell, rent, or share SMS opt-in data, phone numbers, or SMS consent records with third parties or affiliates for marketing or promotional purposes. SMS-related information is shared only as needed to deliver and support CanWePlayIt messages.

We do not sell your personal information. We may disclose information if required by law, to protect users or the service, or as part of a business transfer such as a merger, acquisition, or sale of assets.

Communications and Notification Choices

You can manage your contact information and preferred communication method in the app. You can also control push notifications from your device settings. If SMS is enabled for your account, message frequency varies based on your account and band activity, typically 0-10 messages per month. Message and data rates may apply, and carrier or provider opt-out instructions may also apply. See our SMS Messaging Terms for SMS consent, STOP, and HELP details.

Account Deletion

You can delete your CanWePlayIt account from the mobile app by opening Profile, finding the Delete Account section, entering your current password, typing DELETE, and confirming deletion.

When you delete your account, CanWePlayIt removes your user account, profile, device tokens, refresh tokens, verification codes, memberships, availability exceptions, event confirmations, substitute relationships, and invitation records associated with your account. Organization-level records such as band, venue, and event records may remain when they are needed for other members or leaders, but your personal account and profile are removed.

Data Retention

We keep information for as long as needed to provide CanWePlayIt, maintain band scheduling history, comply with legal obligations, resolve disputes, enforce agreements, and protect the service. When information is no longer needed, we delete it or de-identify it where practical.

Security

We use reasonable administrative, technical, and organizational safeguards to protect information. No internet service can guarantee perfect security, but we work to protect CanWePlayIt accounts and data from unauthorized access, loss, misuse, or alteration.

Children

CanWePlayIt is not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child has provided us personal information, contact us so we can review and delete it as appropriate.

Changes to This Policy

We may update this Privacy Policy from time to time. If we make material changes, we will update the date above and may provide additional notice in the app or on the website.
